How Sage X3 supports FSMA compliance for food and beverage companies

Food and beverage companies must become transparent about where their ingredients originated, how their products were produced, and where the product went after leaving the premises. These requirements have long been part of the business, of course, but the 2011 Food Safety Modernization Act (FSMA) increased complexity by putting a heavy emphasis on preventing contamination rather than merely responding to it. Some food producers, particularly small and mid-sized ones, are still struggling to comply, even as the US Food and Drug Administration (FDA) is poised to double its inspections over the next three years.

four-things-food-manufacturers-need-to-succeedIn large part, FSMA focuses on reducing contamination from microbial pathogens like shigella, e.coli, and salmonella. (At present, the US is battling an outbreak of drug-resistant shigella that caused about 243 illnesses, sickening people in 32 states and Puerto Rico, reports CBS.) To prevent contaminated foods from entering the supply chain, producers must be able to immediately respond to any type of customer complaint or supplier alert. They must also have complete control over quality throughout the process.

That type of control calls for a rules-based engine such as Sage X3, says Benoit Letohic, senior product marketing manager at Sage.

“Sage X3 provides a fully integrated quality control process that can help avoid the introduction of contaminated foods into the supply chain,” says Letohic. “The rules-based orientation ensures blockage of any item that it doesn’t have an acceptable quality status at any stage of the receipt, production, and packaging process.”

A rule for every hazard

Chris Williamson, General Manager of NexTec Group’s X3 division, agrees. He notes that food companies can use Sage X3 to achieve compliance with at least 10 FSMA regulations, including records inspections, hazard analysis, safety standards for produce, labeling requirements, enhanced food tracing, voluntary and mandatory recall requirements, import certifications, and foreign supplier verification.

Williamson has worked with a number of food producers and says the ability to implement a corrective and preventative action (CAPA) plan that meets FSMA standards is a top priority for many. “Sage X3 is the right tool to address this. Its powerful workflow engine lets food manufacturers set up rules for every potential hazard so the correct action is always taken,” he says.

When a complaint call is registered or a supplier notifies the food company regarding a contamination issue with an ingredient, managers use Sage X3 to determine which products contained the problem ingredient, which production lines need to be shut down, who needs to be notified, what reports need to be filed, and so on. “Most importantly, Sage X3 supports full traceability. So you can use the same tool to demonstrate you followed the correct procedures exactly,” says Williamson, adding that Sage ERP X3 has been used for years by pharmaceutical companies to create this type of audit trail.

Another important function for food manufacturers is tracking and providing an audit trail for material or ingredient inspections, Williamson says. Sage X3 helps companies keep track of which products need to be inspected, define where/when/to what degree they must be inspected or tested, and create an audit trail of inspections already completed.

Similarly, Sage X3 helps companies record the movement of goods from receipt through production, inspection, picking, and shipping. “This enables a producer or distributor to easily manage visibility throughout a product’s lifecycle,” explains Williamson. And the software’s dedicated allergen tracker gives food manufacturers the ability to flag an allergen at the lowest ingredient level and track it throughout the production and distribution process, helping avoid cross-contamination.

Taking audit prep time to zero

For many companies, the biggest burden associated with FSMA compliance is creating the systems that allow them to demonstrate compliance to regulators and the public. The cost of these documentation and auditing activities may be high, and noncompliance can result in enhanced inspections, mandatory recalls, financial penalties, and lawsuits. Only food companies with primarily local sales and revenue under $500,000 per year are exempt.

Williamson says he has seen audit preparation drastically reduced following a Sage X3 implementation. “Done manually or using older systems, audit preparation takes hours and sometimes days,” he says. “Customers with Sage X3 have literally zero prep time when faced with an audit. They can instantly show any aspect of production and demonstrate that they can begin a recall in a matter of minutes if necessary.”

That ability is no doubt welcomed by managers looking to increase efficiency, but it serves an even more important purpose for some. Section 402 of FSMA provides whistleblower protection, and last year’s final rule prohibits employers from punishing employees who adhere to food safety laws. Food Safety News recently reported a rise in whistleblower complaints, with 17 filed in 2011, 22 in 2012, and 54 in 2013, making clear that audit trails are a vital component of any food manufacturer’s process.

3 ways ERP can simplify food recall management

recall_eggHandling a food recall is a very challenging task. At its bare minimum, customers are inconvenienced while a company’s bottom line takes a hit from having to fix the problem and compensate irate consumers. If the Food and Drug Administration or Department of Homeland Security mandates the recall, however, the stakes are far greater . With this in mind, enterprise resource planning software can have a helpful impact on the steps involved in identifying the need for, planning and executing a product recall.

Recently, Sage expert Mark Pinard of consulting firm NexTec Group hosted a webinar explaining the steps involved in a product recall. During this time, he talked about the reasons why it’s important to have a management strategy in place when food is being recalled. He also explained a useful strategy in the event a recall needs to happen, from the first customer complaint to the last defective product returned. With ERP software, though, there are ways that the process can be simplified.

1.  Consumer Issue Management is made easier

The two cornerstones of ERP are automation and database accessibility. This works incredibly well in a Consumer Issue Management module, which is a critical part of the CRM tools needed to handle a product recall. For example, the moment a call is received, a representative can determine if the person has a prior history, and if not add him or her on the fly. Instead of having to work out some complex details in the system, the support rep can record customized input boxes based on the way products are labeled and assigned. This staffer can then designate a recall or support category based on the scale of the problem automatically. Finally, any notes and issues are easily logged and are accessible to key members of the company that may need to handle the recall.

2.  Fast resolutions

In product recalls, time is of the essence. The fewer people that have access to the defective product, the better off the company will be. This is especially the case in mandatory recalls where lives and well-being may be on the line. With ERP software, resolutions at any level can be executed quickly. Once a lot number with the defective ingredient is identified, the database can determine what products have that ingredient, as well as how many were made and where it has been shipped, instantly. Notification letters can be generated and sent to distributors and retailers to remove the product off of store shelves. Call lists and CRM records can also be made to establish a paper trail for compliance.

3.  Make notes in the aftermath

When the recall is resolved, a company will need to take steps to recover from the situation. Along with the disposal of the materials, there is a need to adjust finances and accounting to effectively address this problem. Having notes to mark changes to policy as a result of a recall can be an effective solution in this regard. For example, the sales prices of shipments of particular products can be changed to reflect the fluctuating events that resulted from the recall, and delivery dates can be altered so that new products can receive added scrutiny. Matters revolving around credit can be addressed as well, including extending the credit line to take into account losses of sales. For accountants, memos can be made to write off specific lots that contained the defective product as well as making a note to accept short payments in the future, so as to ease retailer concerns.
