Refining your sales order process in Dynamics GP

Going paperless allows companies to save time and work smarter. The order entry process typically starts with a completed purchase order from a customer that will either come in the mail, through email or fax. You may need to walk that document to a coworker’s desk and wait for an approval before entering it in Dynamics GP. Then, once the document is approved and the data is entered to the transaction screen, the document likely gets printed or copied and filed in an open order file along with all of the documents that come after it.

We recommend storing these documents in an electronic repository instead. This repository allows for easy access by anyone with proper security rights at any point throughout the process. Say a customer calls you with a question—with the repository, you’ll be able to immediately retrieve his or her order and determine its status. Not only will you save on paper costs and eliminate the need to manually file documents but your documents will also be kept secure.

With document management, the new process would look like this:

  • Receive purchase order from customer via email (or scan any mailed orders)
  • Electronically route purchase orders that need to be reviewed
  • Open the image of the purchase order on your screen next to the transaction entry screen
  • Data that gets entered on the transaction screen will be automatically associated with that image so that it can be easily retrieved later
  • Once the sales order has been created in GP it will be automatically stored in doc‐link
  • Any documents that come after the sales order (acknowledgments, shipping documents, AR invoices, payment receipts, lot certifications or any other document) will be captured and stored in the repository as well
  • Automatically deliver all acknowledgments and/or AR invoices to customers in their preferred format

We know there is a great deal of documents that go along with sales order processing—in addition to a lot of manual filing, printing, copying, and mailing. Storing and routing documents electronically allow you to maintain visibility through the process and even prepare sophisticated reports to stay on top of all the documents being processed. This is just one of the many ways going paperless can help your business run more smoothly.
